How to choose a tour operator for India: a practical checklist
A good tour operator makes an India trip smooth; a poor one turns small problems into ruined days. Reviews help, but they do not tell you everything. This checklist shows what to ask, what to get in writing and how to compare quotes fairly, whoever you book with.
Disclosure: This guide is published by Vega Tours & Travels, a Jaipur tour operator managed by D&D Technology. Vega Tours is one of the options discussed. Competitor facts were checked on their official sites on 27 Oct 2026 (as of Oct 2026) and may change; follow the source links before you decide.

1. Check approvals and basic details
India's Ministry of Tourism runs a voluntary approval scheme for travel agents, tour operators, adventure tour operators and tourist transport operators. India.gov.in links to state-wise lists of approved operators with names, addresses and contacts, and data.gov.in publishes lists by category. Because the scheme is voluntary, many genuine small operators are not on it; use it as one check among several.
- Is there a physical office address you can find on a map?
- Do the phone number, email and website all belong to the same business?
- Will they share a GST invoice for your payment?
- Are vehicles commercially registered (yellow number plates for taxis in India)?
2. Insist on a day-by-day itinerary and clear inclusions
A one-line quote such as "Rajasthan 7 days, ₹X" is impossible to compare. Ask every operator for the same thing: a day-by-day plan with driving hours, sightseeing stops, overnight town and hotel category.
| Item | What to ask | Why it matters |
|---|---|---|
| Driving time per day | Hours on the road, not just kilometres | Rajasthan distances are long; 8+ hours a day is tiring for families |
| Vehicle | Model, seats and luggage space | A car that seats seven may not fit seven people's luggage |
| Tolls, parking, state tax | Included or extra? | These add up on multi-state routes |
| Driver allowance and stay | Included or extra? | Common hidden extra in taxi quotes |
| Hotels | Names or category, meal plan | "3-star" means different things in different towns |
| Entry tickets and guides | Included or extra? | Monument tickets and guides are often excluded |
| Cancellation | Refund rules by date | Plans change; know the cost first |

Most of your trip will be spent with the driver, so ask about them as carefully as you ask about hotels. Who is the driver, how much experience do they have on this route, and what happens if the car breaks down? Ask for the driver's name and number before you start.
Ask who you call at 10 PM if a hotel is wrong or a road is closed. A good operator gives you a named contact and answers outside office hours when you are on the trip.
4. Read payment terms and compare quotes fairly
- Pay an advance only after the itinerary and inclusions are in writing.
- Prefer traceable payments (UPI, card or bank transfer) with a receipt.
- Compare at least two quotes using the same template; the cheapest quote often excludes tolls, driver allowance or entry tickets.
- Be cautious of pressure to pay the full amount immediately for a trip weeks away.
OTA or local operator?
If your trip is mainly flights and city hotels, an online travel agency is convenient. If it is a road trip, a family group, a pilgrimage or a custom route, a local operator with local knowledge often fits better. Our comparison of booking options explains the trade-offs in more detail.
How Vega Tours answers this checklist
Vega Tours & Travels, which publishes this guide, is a Jaipur operator on Sikar Road, open Monday to Saturday from 9 AM to 9 PM, with 24/7 contact for travellers already on a trip. It matches the vehicle to your luggage, road time and stops; handles multi-pickup group bookings in Jaipur; and on multi-day trips the driver plans the next day with you. It publishes starting route fares on its contact page and lists package prices on the website.
In fairness: Vega Tours has operated since 2024, and its website does not state Ministry of Tourism approval. Ask us anything on this checklist; if our answers are not clear, choose someone whose answers are.

Questions people ask
What should I ask a tour operator before booking in India?
Ask for a day-by-day itinerary, the vehicle model and luggage space, what is included (tolls, parking, state tax, driver allowance, tickets, meals), hotel names or categories, cancellation rules and a named contact during the trip.
Does a tour operator need Ministry of Tourism approval?
The Ministry of Tourism's approval scheme for tour operators is voluntary. Approved operators appear in state-wise lists linked from india.gov.in. Many small operators are not on it, so use it as one check among several.
Why are some tour quotes much cheaper?
Often because they exclude tolls, parking, state taxes, driver allowance, entry tickets or meals, or use a smaller vehicle. Compare quotes item by item.
